Your company in the Wines Export directory

This notice is for wine importers, distributors, wine shops, restaurants and other trade professionals whose business contact details are listed in the Wines Export professional directory. We did not obtain this information from you directly, so we are required to tell you who we are, what we hold and why, and how you can be removed (Article 14 of Regulation (EU) 2016/679, "GDPR").

2. What Wines Export does
We keep a directory of companies that import, distribute or sell wine. Italian wine producers subscribe to our service to find suitable trade partners. They can look up a limited number of companies per month and then contact them directly, from their own email, phone or social accounts. We never send commercial messages to you on their behalf, and we never sell or publish your details.
3. What information we hold about you
Business contact data only:
- company name, website, country and business address;
- business email address, business phone or WhatsApp number, and the public business profiles your company publishes (for example a business page on Instagram, Facebook or LinkedIn) with their public description;
- where your company publishes it, the name, role, business email and professional profile of the person in charge of purchasing;
- what your company does (importer, distributor, wine shop, restaurant…), the markets it trades with as they appear in public trade data, and an internal score of how well the company fits an Italian producer.
We do not hold special categories of data and we do not collect private information.
4. Where it comes from
Public and professional sources: your company website; public business registers (for example Companies House, the US TTB importer list, HMRC importer lists, Systembolaget, French company registers); public customs and trade data; trade directories and trade-fair catalogues; public business profiles (Google Business, LinkedIn, Instagram and Facebook business pages); business-to-business data providers. On request we will tell you the specific source of your record.
5. Why, and on what legal basis
Purpose: to let Italian wine producers identify and contact suitable trade partners (business-to-business prospecting), and to keep the directory accurate.
Legal basis: our legitimate interest, and the legitimate interest of our subscribers, in business-to-business commercial communication — Article 6(1)(f) GDPR, Recital 47. We have documented the balancing test and you may ask for a summary of it.
6. Who receives your data
- Our subscribers, Italian wine producers, who can look up a limited number of companies each month. Every look-up is logged.
- Our service providers, acting on our instructions: database and hosting (Supabase — Ireland; Contabo — France), transactional email (Brevo — France), and the AI service that helps a producer draft and translate a message (Anthropic — USA, under its Data Processing Addendum with EU Standard Contractual Clauses). - Public authorities, where the law requires it.
7. Transfers outside the European Union
Your data is stored in the European Union. When a producer uses our drafting and translation assistant, your company's country and preferred channel — not your contact details — may be processed by Anthropic in the USA under Standard Contractual Clauses.
8. How long we keep it
For as long as your company is active in the wine trade and the record is periodically re-verified. Records not re-verified for 24 months are reviewed and, if no longer accurate or relevant, deleted. Names and roles of contact persons not re-confirmed within 36 months are deleted. If you object, your details are removed from the directory and your email address is kept only on a suppression list, so that we never list or contact you again.
9. Your rights
One click is enough
You can object at any time: click "Remove my company" in the email we send the first time your company is looked up, or write to privacy@wines-export.com. We stop immediately and tell the producers who had looked you up not to contact you.
You can also ask us to access the data we hold and its source, to correct it, to erase it, to restrict its use, or to receive it in a portable format. We answer within one month. You may lodge a complaint with the Italian supervisory authority (Garante per la protezione dei dati personali — garanteprivacy.it) or with the authority of your own country.
10. No automated decisions
We do not take decisions with legal or similarly significant effects on you by automated means.
